Qualifying for an SME loan is less about piling up documents than about submitting one coherent set: company verification, proof of operations, financial figures and a repayment source, all lining up. There is no statutory universal checklist — each funding provider sets its own requirements — but preparing by company type (audited, unaudited, e-commerce) is the most reliable approach. How eligibility is judged: four categories of information
Providers assessing SME loan eligibility usually work around four categories: (1) company verification — business registration certificate, incorporation documents, director identity; (2) proof of operations — contracts, invoices, platform or bank records; (3) financial condition — management accounts, audited statements, tax filings; (4) repayment arrangements — use of funds, repayment source, collateral or guarantees where applicable. Audited companies: the document checklist
Companies one to two fiscal years old with routine audits are the most straightforward case. Commonly requested: business registration certificate, certificate of incorporation, director and shareholder identification, audited financial statements for the past two years, latest management accounts, six to twelve months of bank statements for the main account, sample customer or supplier contracts, recent tax notices, and an explanation of fund use. Audited statements are prepared by a practising accounting firm; if the audit covers an older fiscal year, current management accounts usually need to accompany it. Unaudited companies: what can substitute
Small, newly started or bookkeeping-only companies are not automatically excluded. A common substitute set: six to twelve months of bank statements, monthly management accounts (even a simple profit-and-loss and cash-flow summary), tax filings or profits-tax returns, key contracts and invoices, and signed purchase orders. The key is internal consistency: revenue in the management accounts should broadly reconcile with bank credits. Whether management accounts are accepted in place of audits is decided by each provider per product and company size — do not assume all institutions are alike.
E-commerce companies: checklist and submission method
E-commerce businesses have no traditional storefront, so operational proof comes from platform data. Commonly requested: business registration and company documents, sales reports exported from Amazon Seller Central or other platforms, transaction and receivables reports, statements for the platform payout account, inventory records or supplier purchase contracts, and logistics proof. Submission is manual: export reports from the back office and file them as PDF or Excel; no API access is provided. Cover a continuous six to twelve months, and make sure platform-reported figures reconcile with bank deposits — gaps from commissions, advertising and refunds must be explainable.

Three mismatch patterns behind most follow-up requests
The most common hold-up is not missing files but files that fail to line up. One: inconsistent company names — the name on the business registration, bank account, contracts and invoices must match exactly; attach the change-of-name certificate if the company was renamed. Two: accounts that do not reconcile with bank records — management accounts showing HK$900,000 of revenue against only HK$600,000 of bank credits will draw questions. Three: vague fund use — "supplement working capital" alone carries little weight; state how much goes to which expense, when, and how it improves repayment capacity.
